We collect only the information needed to run your account and provide spoken English lessons. We do not sell your personal data.

2. Information we process

  • Account information: your email address, username, securely hashed password, and account preferences.
  • Lesson and booking information: booked times, lesson status, selected lesson material, and settings such as reminder time and time zone.
  • Speaking lesson information: audio submitted during a lesson, speech transcripts, lesson messages, and corrections created to provide your learning record.
  • Technical and security information: data needed to keep the service secure and working, such as server logs and IP-related security information.
  • Messages to us: the contact details and content you send when you email us.

3. Why we use this information

We use personal data to:

  • create, secure, and maintain your account;
  • run booked AI speaking lessons and show your lesson history;
  • send account, password-reset, verification, and optional daily reminder emails;
  • answer support requests, prevent abuse, and improve service reliability; and
  • meet legal obligations where they apply.

4. AI lesson processing

CluckMate uses AI infrastructure to provide live speaking practice. When you start a lesson, the spoken input, transcript, lesson instructions, and the minimum relevant lesson context are processed to generate the requested response and feedback. Please do not include unnecessary sensitive personal information in a lesson.

5. Legal basis

Where the GDPR applies, we process your data because it is necessary to provide the service you request, to meet legal obligations, or for our legitimate interests in keeping CluckMate secure and reliable. Optional reminder emails are sent according to the preference you choose in your settings.

6. Who may receive data

We use carefully selected service providers for hosting, email delivery, technical support, and AI lesson processing. They process data only as needed to provide their service to us. We may also disclose data if required by applicable law or to protect the service and its users.

7. International transfers

Some providers may process data outside the European Economic Area. Where required, we use appropriate safeguards for those transfers, such as contractual protections recognised under applicable data protection law.

8. How long we keep data

We keep account and lesson information while your account is active and for as long as it is reasonably necessary for the service, security, and legal obligations. You can ask us to delete your account; some information may need to be retained where the law requires it.

9. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or object to processing of your personal data, and to request a portable copy. To make a request, email contact@cluckmate.com. We may need to verify your identity before acting on a request.

10. Security, age, and changes

We use reasonable technical and organisational measures to protect personal data, including encrypted connections and password hashing. No online service can guarantee absolute security. CluckMate is intended for users aged 16 or over. We may update this policy when the service or legal requirements change; the latest version will always appear on this page.
